Position Summary
Under the direction of the Principal, the Thrive Time, Food Services & Operations Coordinator is responsible for the daily operation of the school's Thrive Time program, food services program, and designated operational support functions. The Coordinator ensures the effective delivery of student programming, oversees staffing and scheduling requirements, maintains accurate records, supports school operations, and provides direct supervision and leadership during Thrive Time programming. The successful candidate is a highly organized and proactive team member who can work independently, exercise sound judgment, and respond effectively to changing operational needs.
 
Hours of Work
• Regular hours are 1130AM-7PM, Monday to Friday, during the school year.
• The schedule is designed to support both school-day operations and Thrive Time programming.
• The Coordinator is expected to remain on-site through the conclusion of Thrive Time programming and ensure appropriate staffing and student supervision are maintained.
• Occasional flexibility may be required to support special events, field trips, professional learning opportunities, or operational needs.
• Additional hours may be required on occasion to support program continuity, staffing shortages, or special events, in accordance with applicable employment standards.
 
Term of Employment
• This position follows the school calendar and is scheduled from as soon as possible through June 25, 2027.
 
Food Services
• Coordinate the daily distribution of meals and snacks to students.
• Prepare meal and snack carts and ensure food is distributed safely and efficiently throughout the school.
• Maintain visual inventory of food service supplies and communicate replenishment needs to GoKitchen staff.
• Support food safety, allergy awareness, and proper food handling procedures.
• Clean and organize food preparation, serving, and storage areas following meal service.
• Prepare snacks for Thrive Time programming.
• Store, label, and organize leftovers in accordance with established food safety procedures.
• Assist in preparing and distributing take-home food portions and family support food packages as required.
• Maintain records related to food services operations as required.
 
Office Administration Support
Working collaboratively with the Administrative Support Lead:
• Support student registration, attendance, and record-keeping processes.
• Scan, upload, organize, and maintain student documentation and cumulative files.
• Enter and maintain student information in school databases.
• Assist with report card preparation, year-end processes, audits, and other administrative requirements.
• Support front-office operations during periods of high demand.
• Complete general administrative duties as assigned.
 
Thrive Time Program Administration
• Maintain Thrive Time enrollment, registration, attendance, and student records.
• Coordinate parent communications and program documentation.
• Maintain emergency contact and transportation information.
• Track program supplies, equipment, and inventory.
• Assist with budgeting, purchasing, and expense tracking for Thrive Time.
• Support the planning and organization of field trips, enrichment activities, and special events
 
Thrive Time Operations and Staffing Coordination
• Develop and maintain Thrive Time staff schedules.
• Coordinate substitute coverage and adjust staffing assignments as operational needs arise.
• Ensure appropriate supervision ratios and student safety requirements are maintained.
• Provide day-to-day operational leadership and support to Thrive Time staff.
• Serve as the primary operational contact during Thrive Time programming.
• Facilitate the safe organization and supervision of student groups when staffing adjustments are required.
• Support transitions between the school day and after-school programming.
• Provide direct program coverage when operational needs or staffing shortages require.
• Communicate staffing concerns and operational challenges to administration in a timely manner.
Program Planning and Special Events
• Coordinate field trips, special events, and enrichment opportunities.
• Collaborate with administration to support Thrive Time program development and professional learning.
• Work collaboratively with school staff to support school-wide events and initiatives, including Nest Days.
• Support the planning and implementation of new Thrive Time initiatives and programming.
• Assist in developing operational plans during periods of reduced staffing or unique programming needs.
 
Student Support and Family Communication
• Respond to day-to-day student behavioural concerns during Thrive Time.
• Implement school expectations, routines, and program procedures consistently.
• Document incidents and communicate concerns to families when appropriate.
• Collaborate with classroom staff and administration regarding student needs and supports.
• Implement established student support strategies and accommodations as communicated by school staff and administration.
• Promote a positive, inclusive, and safe environment for all students.
• Refer significant behavioural, safety, or wellbeing concerns to administration as required.
• Participate in meetings regarding student support needs when requested.
 
Required Qualifications
• High school diploma or equivalent.
• Experience coordinating programs, operations, childcare, education, recreation, or related services.
• Strong organizational, communication, and problem-solving skills.
• Demonstrated ability to prioritize multiple responsibilities and respond to changing operational demands.
• Ability to work independently and exercise sound judgment in a dynamic environment.
• Proficiency with Microsoft Office and digital record-keeping systems.
• Current First Aid and CPR Certification (or willingness to obtain).
• Current Food Safe Level 1 Certification (or willingness to obtain within three months of hire).
• Clear Criminal Record Check and Vulnerable Sector Check.
Preferred Qualifications
• Experience working with school-aged children.
• Experience coordinating staff schedules and program operations.
• Knowledge of student behaviour support practices.
• Experience supporting food service operations or food security programs.
• Experience with inventory management and purchasing processes.
• Post-secondary education in education, recreation, child and youth care, administration, social services, or a related field.
 
Compensation
• Annual salary $45,000
• Eligible benefits and RSP contribution as per school policy
